Wind Water Controls respects your privacy. This Privacy Policy explains how we collect, use, and protect information when you contact us, request service, submit information through our website, communicate with our office, or interact with our scheduling, messaging, or customer management systems, including Jobber and any automated or AI-assisted receptionist tools we may use.

1. Information We Collect

We may collect information that you provide directly to us, including your name, phone number, email address, service address, billing address, company name, project details, service requests, photos, messages, appointment information, and payment-related information.

We may also collect communication details such as call notes, text messages, emails, appointment requests, service history, and customer support interactions.

2. Use of AI-Assisted Receptionist and Automation Tools

Wind Water Controls may use AI-assisted receptionist tools, automated messaging, scheduling systems, or customer management software to help answer inquiries, collect service information, schedule appointments, organize customer requests, and improve response times.

Information you provide through these systems may be processed by third-party service providers, including Jobber or other communication and automation platforms, for the purpose of managing customer requests, scheduling work, sending reminders, and providing service-related communication.

AI-assisted tools are used to support our office and field operations. They do not replace final review, decision-making, estimates, approvals, or service commitments by Wind Water Controls personnel.

3. How We Use Your Information

We use customer information to schedule and manage appointments, service calls, and projects; respond to inquiries; prepare estimates and invoices; provide customer support; communicate about job status, scheduling, and billing; maintain service records; process payments; improve our business operations; and comply with legal, accounting, insurance, or regulatory requirements.

4. Sharing of Information

We do not sell customer personal information.

We may share information with trusted third-party service providers that help us operate our business, including scheduling platforms, payment processors, accounting systems, email/text communication services, cloud storage providers, AI-assisted receptionist tools, and customer management software.

We may also share information when required by law, to protect our legal rights, to collect unpaid balances, to comply with insurance requirements, or to respond to lawful requests from government or regulatory authorities.

5. Text Messages, Emails, and Communications

By contacting Wind Water Controls or providing your phone number or email address, you agree that we may contact you regarding estimates, scheduling, service work, project updates, invoices, payment reminders, and other business-related matters.

Message and data rates may apply for text messages. You may request that we stop sending non-essential communications at any time. Some communications related to active service, billing, safety, or legal matters may still be necessary.

6. Payment Information

Payment information may be collected and processed by third-party payment processors. Wind Water Controls does not store full credit card numbers unless permitted and securely handled through approved payment processing systems.

If credit or debit card payments are accepted, processing fees or convenience fees may apply where permitted by law and disclosed on invoices or payment pages.

7. Data Security

We take reasonable steps to protect customer information from unauthorized access, loss, misuse, or disclosure. However, no electronic system, website, email, text message, or cloud-based platform can be guaranteed to be completely secure.

8. Data Retention

We may retain customer records, job history, communications, invoices, estimates, service notes, and related business records for as long as needed for business, legal, tax, insurance, warranty, or recordkeeping purposes.

9. Customer Rights and Requests

You may contact us to request access to, correction of, or deletion of certain personal information, subject to legal, accounting, insurance, contractual, or business recordkeeping requirements.

10. Changes to This Policy

Wind Water Controls may update this Privacy Policy from time to time. Updates will be posted on our website with a revised effective date.

These Terms of Service explain how customers, website visitors, callers, and other users may interact with Wind Water Controls’ AI receptionist, online scheduling, messaging, and customer communication tools.

By contacting Wind Water Controls, submitting information through our website, using our online forms, requesting service, booking an appointment, or interacting with our AI receptionist, you agree to these Terms of Service.

1. Use of AI Receptionist

Wind Water Controls may use an AI-powered receptionist or automated assistant to help answer questions, collect customer information, schedule appointments, provide basic service information, and route requests to the appropriate team member.

The AI receptionist is intended to assist with communication and scheduling only. It may not always understand every request accurately, and responses should not be considered final approval, technical advice, legal advice, or a binding agreement unless confirmed by an authorized Wind Water Controls representative.

2. Customer Information

When you interact with our AI receptionist, website, phone system, text messaging, email, or Jobber-powered forms, we may collect information such as your name, phone number, email address, service address, company name, job details, photos, preferred appointment times, and other information needed to respond to your request.

By submitting this information, you confirm that it is accurate and that you are authorized to provide it.

3. Scheduling and Service Requests

The AI receptionist may assist with scheduling appointments or collecting information for service requests. Appointment times, job scopes, estimates, pricing, and service availability are not guaranteed until confirmed by Wind Water Controls.

Wind Water Controls reserves the right to reschedule, decline, or modify any appointment or service request based on technician availability, service area, weather, safety concerns, job requirements, parts availability, or other business needs.

4. Estimates, Pricing, and Work Authorization

Any pricing, estimate, or service information provided through the AI receptionist is for general informational purposes only unless formally issued and approved by Wind Water Controls.

No work is authorized until Wind Water Controls provides confirmation, an approved estimate, signed agreement, purchase order, or other written authorization as required.

5. Emergency Services

The AI receptionist may not be suitable for emergencies. If you are experiencing an emergency involving fire, gas, electrical hazards, flooding, life safety, medical issues, or immediate danger, call 911 or the appropriate emergency service immediately.

Submitting a message, voicemail, form, or AI chat request does not guarantee immediate response.

6. Communications by Phone, Text, and Email

By contacting Wind Water Controls or submitting your contact information, you agree that we may contact you by phone, text message, email, voicemail, or other electronic communication regarding your inquiry, appointment, estimate, invoice, service request, or account.

Message and data rates may apply. You may request that we stop sending non-essential text or email communications by contacting us directly.

7. Accuracy of AI Responses

Wind Water Controls makes reasonable efforts to keep information accurate, but AI-generated responses may contain errors, omissions, or misunderstandings. Customers should verify important details, including appointment times, service scope, pricing, equipment requirements, access instructions, and payment terms.

Wind Water Controls is not responsible for damages or losses caused by reliance on incorrect or incomplete AI-generated information unless confirmed in writing by an authorized company representative.

8. Customer Responsibilities

Customers agree to provide accurate information, safe access to the work area, necessary site details, and timely communication. Customers are responsible for ensuring that a person with authority is available to approve work, provide access, and make decisions regarding service.

Customers may not use the AI receptionist, website, or communication tools to submit false information, abusive language, spam, unlawful content, or requests unrelated to Wind Water Controls’ services.

9. Third-Party Platforms

Wind Water Controls may use third-party platforms, including Jobber and other software providers, to manage scheduling, customer communication, estimates, invoices, payments, and service history.

Use of these platforms may also be subject to the third-party provider’s own terms, privacy policies, and security practices. Wind Water Controls is not responsible for outages, delays, data processing, or errors caused by third-party platforms.

10. Payments and Invoices

Customers are responsible for payment of approved work, services, materials, fees, and invoices according to the terms provided on the estimate, invoice, service agreement, or other written document.

Additional charges may apply for credit card processing, after-hours service, return trips, diagnostic time, materials, rental equipment, or changes in scope, if applicable and disclosed by Wind Water Controls.

11. Limitation of Liability

To the maximum extent permitted by law, Wind Water Controls is not liable for indirect, incidental, special, consequential, or punitive damages arising from the use of the AI receptionist, website, communication tools, scheduling system, or third-party software platforms.

Wind Water Controls’ liability for any claim related to service, communication, or scheduling shall be limited to the amount paid by the customer for the specific service giving rise to the claim, unless otherwise required by law.

12. No Guarantee of Availability

Wind Water Controls does not guarantee that the AI receptionist, website, scheduling system, phone system, or customer communication tools will always be available, uninterrupted, secure, or error-free.

We may update, suspend, or discontinue any automated communication feature at any time.

13. Privacy

Your use of our AI receptionist and communication tools is also governed by our Privacy Policy. The Privacy Policy explains how we collect, use, store, and share customer information.
